The following terms and conditions apply to Diversity & Inclusion in Grocery 2024:
Anti-Bribery and Trust Compliance Statement

As a Partner, you adhere that the purpose of this programme is to discuss activities relating to the Diversity and Inclusion in the Grocery Industry managed by GroceryAid and not to discuss trade between the organisations you represent. This programme encourages the collaboration and networking of FMCGs businesses on D&I topics, thus partners are not deemed as competitors within this programme. We reserve the right of any exclusive partnerships within the programme for different sectors. This applies to all workstreams and areas of the programme.

Non-participation

In the event of non-participation (programme and event) you will be liable for the full cost of the partnership.

Cancellation

You may cancel a partnership arrangement and obtain a refund for the sums paid in respect of the cancelled element, based on the following timelines as set out below:

Cancellation Terms:

16 weeks prior to the start of the programme (1st January):

  • 50% of the programme cost will apply. This includes your ticket allocation to the event.
  • Note: If you are unable to allocate all tickets included in your Partnership package, no refund will be issued. Please note, virtual ticket allocation for Headline Partners cannot be swapped to in-person tickets. Equally for all Partners, your in-person ticket allocation cannot be swapped to a virtual option. Should there be an act of force majeure, it is up to the event's discretion to offer a virtual alternative if possible.

12 weeks prior to the start of the programme (1st January):

  • 100% of the programme cost will apply. This includes your ticket allocation to the event.
  • Note: If you are unable to allocate all tickets included in your Partnership package, no refund will be issued. Please note, virtual ticket allocation for Headline Partners cannot be swapped to in-person tickets. Equally for all Partners, your in-person ticket allocation cannot be swapped to a virtual option. Should there be an act of force majeure, it is up to the event's discretion to offer a virtual alternative if possible.
Partnership Confirmation

We shall not be liable to you and we reserve the right to defer the date of an event or to cancel an event or reduce the volume of ticketing or partnership opportunities ordered by you if we are prevented or hindered from or delayed in the carrying on of our business due to circumstances beyond our reasonable control including act of God, actions of third parties (including hackers, suppliers, governments or supra-national authorities), insurrection, riot, civil commotion, war, hostilities, warlike operations, national emergencies, terrorism, piracy, arrests, restraints or detainments of any competent authority, strikes or combinations or lock-out of workmen, epidemic, fire, explosion, storm, flood, drought, earthquake, adverse weather conditions, natural disaster, accident, mechanical breakdown, third party software, failure or problems with public utility supplies (including electrical, telecoms or general Internet failure), shortage of or inability to obtain materials, failure of computer equipment, failures or delays of sources from which information or data is obtained) ("Event of Force Majeure"), regardless of whether the circumstances in question could have been foreseen.

In the Event of Force Majeure, we shall have no liability to you and accordingly we shall have no obligation to refund to you the price of the partnership opportunities or tickets purchased.

Payment Terms

Payment is due within 30 days from date of invoice. Where payment has not been made by the time of the event the place will be cancelled but the full booking cost will remain due.

Photography

GroceryAid may arrange for photographs and/or video footage to be taken at events and used for promotional purposes.  This may include printed documents or media, editorial coverage, advertising press and use on the internet. By submitting registration details, Delegates agree to their image being used in this manner. If Delegates wish to revoke this consent, please contact GroceryAid’s events team: [email protected]

Data Protection

As part of the programme, we collect data for the following:

  1. Use of our Learning Lab invites, ERG Forums and for event registration. By submitting details, Delegates agree to the following:
      • GroceryAid can hold Delegate details on their database
      • GroceryAid and third party companies associated with the event can contact Delegates as required for the organisation and administration of the event. Data will not be shared with any other third party.
      • The name and company of attendees will be placed on the attendee list for each event. This list may be provided to all delegates for them to see who is at the event for the purpose of networking and meetings.

2. Use of our Mentoring Programme.

      • By submitting details as part of the application process, delegates agree to PushFar’s Terms and Conditions and GroceryAid’s Terms and Conditions.
      • Candidates will also be requested to complete a Diversity survey. The purpose of the survey is to understand the diversity of the 2024 mentoring cohort. The survey will measure the current levels of representation across 10 areas (Age, Gender, Sexual Orientation, Ethnicity, Religion, Parental and fostering responsibility, Caring responsibility, Physical disability, Neurodivergence and Social Mobility) to enable us to track annually. The data provided is purely for this purpose and will not be used as part of the matching process between Mentees and Mentors, therefore the survey is anonymous and also provides a ‘prefer not to say’ option to each question. Once reviewed the survey will be deleted and the aggregated results shared with the Mentoring Steering Group on 12th March 2024, the Programme’s Strategy Steering Group for their April meeting and alongside the Mentoring Programme highlight stats in the 2024 Impact Report.

3. Use of our Maturity Model.

      • By submitting details as part of the completion process, The Maturity Model Contact agrees to CM System Designs Software Terms and Conditions, D&I in Grocery Programme Terms and Conditions and GroceryAid’s Terms and Conditions.

Obligations on GroceryAid

As part of this agreement, GroceryAid agrees to the following:

GroceryAid to take the project lead on the full Diversity and Inclusion in Grocery 2024 programme. With regard to the industry event GroceryAid will manage the set-up and delivery of the event, including but not limited to venue management, maintenance of website, attendee registrations, delegate communications and agenda outline.

Intellectual Property and Branding rights

Subject to the terms and conditions of this Agreement, Partners grant GroceryAid a non-exclusive, non-transferable right to use Partners name, the logo, any other trademarks or service marks (unregistered or registered), any other symbol or logo used by the Partner solely for the purpose of and in connection with the provision of the Services under this Agreement upon prior written approval. GroceryAid shall at all times comply with the Branding Guidelines of each partner.

Workstream commitment

Shared learning:

  • Whilst we encourage all partners to get involved with the learning labs and provide equal opportunity to do so, if you are unable to participate or share content this does not change the partnership package agreement
  • We recommend having at least five colleagues attend each Learning Lab, if you are unable these sessions this does not change the partnership package agreement
  • Learning lab invites and the hub login resources must not be shared beyond the wider partnership

Mentoring:

  • Candidates must complete their profiles on Pushfar by 15th December. If the deadline is missed, the programme cannot guarantee a match.
  • The Key Contact must submit equal number of mentees/mentors into the programme
  • Should the Key Contact choose not to submit any applications this does not change the partnership package agreement
  • Where a mentee or mentor is requesting a re-match, these will be reviewed on a case for case basis and in consultation with the Mentoring Steering Group. A re-match cannot be guaranteed.
  • If a mentee or mentor leaves the programme, we are not obliged to provide a replacement.
  • In the instance that a mentee or mentor changes role and moves to an external business within FMCG, their participation is up to the discretion of the Partner Key Contact.
  • The key contact should check in with the mentees and mentors every three months.

D&I in Grocery LIVE!

  • Whilst we encourage all partners to get involved with the event content and provide equal opportunity to do so, if you are unable to participate or share content this does not change the partnership package agreement.
  • If you do not wish to use your full ticket allocation as part of the Partnership Package, this does not change the cost of the Partnership Package.
D&I in Grocery Maturity Model

Whilst we encourage all Partners to use the model, if you are unable to participate this does not change the Partnership Package agreement.

  • The model must be completed between 15th and 26th January. The completion window closes at 5pm on 26th January. If the deadline is missed, Partners will not be able to utilise the model until the following year.
  • If you do not wish to complete the model, this does not change the cost of the Partnership Package.
  • The only score to be shared in the public domain is the industry score. Your individual score/s can only be viewed by you; therefore, it is in your interest to score yourself realistically to track tangible progress year on year.
  • The model does not require you to submit any supporting evidence, or ask you for data sets.
